Abstract


People’s life style has been changed a lot with the development of computer science and technology. The information sharing over the network and Internet is not only a main method for research and development, but also a main part of communication method in our daily life. However, the office automation with data input, output, storage and sorting can not meet the gradually increasing requirement from the users any more. At the same time, the method which is suit for communication across geographical and work collaboration is required more and more, and work collaboration is a main method to meet people’s requirement. Along with the development of work flow technique, the work collaboration based on work flow platform is widely implemented in these days.In this paper, a deep research of ERM China work flow application is conducted. The research is in regard to the business features in multi-region locations of ERM China, working collaboration and more communication across different regions; also it is based on further analysis of the enterprise network topological structure. And then, with the research of work flow modeling method and process in ERM China, the workflow interface definition method is concluded. In addition, the general enterprise workflow requirement is analyzed, and the workflow system architecture is designed. Further more; the workflow engine is designed detailedly focusing on the message delivering, the process controlling, document version controlling and access privilege controlling. The workflow system is implemented using Lotus Domino/Notes. A general enterprise workflow system is developed by Domino Designer, which is a Lotus Domino/Notes database file and is stored on company Domino/Notes server. The workflow application role is designed by the Lotus Domino/Notes security system. The different access level to the workflow database illustrates the different job role in the workflow application system. The workflow job role includes the workflow system administrator, who is the enterprise information system administrator and will configure the workflow system by the workflow system, also has the highest access privilege the workflow system database. The workflow apply role, is one of the staff who use the workflow system in the enterprise. Also the staff who apply the workflow system application, have partial access control privilege to the workflow system. The workflow dealing with role, which is also one of the workflow using staff, has partial access and controlling privilege to the system, which will approve or review the special step of the workflow which is applied by the workflow apply role. In each stage of the workflow system, there would be the workflow document to be dealt with. Therefore, to ensure the access security of the document, the workflow system set up document access privilege, which is also based on the security feature on Lotus Domino/Notes system. In the end, the deployment of workflow system within ERM China is described, taking the internal report reviewing flow as an example.Comparing with other general workflow systems, this system has following advantages: to be rolled out easily, to be set up and designed based on the current information system easily, and cost saving with no more hardware and software investment. Also, the system is compatible to the current information systems in the company, and integrates message delivering and security access controlling with the current systems. It has the benefit of less maintenance and working with high efficiency to the company staff.This system is expanded to be used in four offices of ERM China. There are approximately more than 90% project staff in the company participating in the project review workflow over this system. The human resource department also configures the vacation apply and approval workflow in the company as well. The practice of the workflow system running shows that this research supplies an ideal workflow solution to ERM in China.
